Adding One-Off Trips


While regular trip departures are scheduled through the Master Schedules page; Manage Bookings offers the user a way of adding One-Off departures to the daily schedule.

To schedule a single departure, open the Day Menu for the relevant date, and select Add One Off Trip.


In the Add Trip popup box that opens:

  • Select the Activity you would like to schedule.
  • You will also need to set a Trip Time and Capacity.
  • Adding a Trip Note is optional, as is setting an End Time (for users who have this option activated in their Operator Setup).
  • Click Save to add the trip.

Manage Bookings will automatically refresh and the extra trip will now show in your daily schedule.





Trips scheduled in this way have all the same function and visibility as standard departures of the same activity; so once the new trip has been created, it will be displayed to users of both the TMO and OBL, if the activity is usually visible on these interfaces.



Editing One-Off Trips


To make a change to a One Off Trip, click the 'More' menu that corresponds to that timeslot and select Edit Trip.


 

Edit Trip Functions

Through the Edit Trip popup box, you can make any of the following changes to the selected trip:

  • Amend Trip Time or Date

  • Alter Capacity
  • Enter or Update a Trip Note
  • Delete the Trip



Automatically Reschedule Bookings

The Edit Trip box also includes the option to Automatically Reschedule Bookings, so if you change the date and/or time of a One Off Trip, you can opt to have the associated bookings automatically move across to the new time without having to manually reschedule each one.




Frequently Asked Questions

Q: Why isn't Edit Trip available for all departures? 

A: We will be expanding this functionality to all trips in future; however with standard scheduled departures there are additional complications, because these trips are associated to a Master Schedule. Any update to the Master Schedule will have an impact on the edited trip and we need to ensure we prevent - or at least minimise - unexpected consequences for the operator. 

Q: Why can't I change the activity when editing?

A: Bookings can't be transferred automatically from one activity to another because Price Types are associated to specific activities and so new Price Types would need to be selected once the activity changes. To change the activity of a One Off Trip, you can delete the existing departure, and create a new one with a different activity. You will then need to manually Reschedule each booking from the original trip onto the new one, choosing new Price Types for each amended booking as you go. 

Q: If I delete a trip, will the bookings also disappear from Manage Bookings? 

A: No, if you delete a trip, this only deletes the scheduled departure time. The bookings will stay in the system and still be visible on Manage Bookings, but because they are no longer associated to a particular activity departure they will be listed as 'Unscheduled'. You can either create a new departure for the relevant activity at the precise date and time the bookings are for, or edit and reschedule them onto another departure to stop them showing as 'Unscheduled'. 

Q: Why are my bookings showing as 'Unscheduled'? 

A: See answer above. Any bookings that have a Scheduled Time that doesn't correspond to a set activity departure/time slot will show as 'Unscheduled' on the Manage Bookings screen. This happens most often when a user enters a booking and overwrites the Scheduled Time (such as when entering a booking for an 'On Demand' activity) but from now on will also occur if a user deletes a trip that contains bookings, or edits the trip date/time without also automatically rescheduling the associated bookings.

An 'Unscheduled' booking exists outside of the scheduled departures; no trip exists for this time, so no-one else will be able to book onto that activity for the same date and time.
