Mobile CRS Guide

Introduction

This Help Guide is to introduce our new mobile-friendly layout for the RTBS Central Reservation System - designed for easy viewing on smaller screens.
The Mobile CRS enables operator users to perform the following day-to-day tasks in an environment designed to be used on the go.

  • View their daily bookings and basic trip manifests

  • Enter bookings

  • Process credit card transactions using our 'Credit Card Online' functionality

  • Manage trip capacity

The mobile version also has a link through to the desktop site, so users can quickly switch to the fully-featured desktop version when required.
The mobile site will continue to evolve as we bring more and more functionality across to achieve our end goal of having a single, fully-responsive reservation system that automatically resizes to suit any screen size.

Using the Mobile CRS

Manage Bookings
Manage Bookings (Screenshot A) follows the same basic layout of the desktop site, with key information for each activity departure displayed across a row. The number of columns on display will vary with device size, or if viewed in portrait or landscape.
Press on any row to view any suppressed columns for that departure.
If no-one is booked onto a departure, the 'Booked' column will be blank for that row.
Filters
As with the desktop site, Manage Bookings defaults to display the next three days, but you can navigate to another date or view more days by using Filters.
Press Filters to view the options available (Screenshot B), and the section will show the options to change the date, activity order, or the number of days displayed. Press into the date field to bring up a calendar and select a different date. Once you've configured the Filters, press the heading again to close.
Changing Capacity Press on the figure in the Capacity column to edit your availability for that tour (Screenshot C).

If the Capacity is not visible, press on the activity row (avoiding the 'Book' and 'Manifest' links) to expand and view the additional columns (Screenshot D).

On the next screen, enter your preferred capacity, and click 'Submit' to update.
Manifests

Screenshot F Screenshot G To view a trip manifest (Screenshot F), press on the activity name on Manage Bookings.
Press on a row to view more detailed information (Screenshot G) about the booking, as follows:

  • (Non): The number of non-pax units included in the booking

  • Phone: The Guest's contact phone number

  • Value: The Booking Total

  • Paid: The value of transactions recorded against the booking

  • Agent: The Booking Agency

  • Ref: Any reference entered on the booking form

  • Payment Method(s): A list of payment methods that have been recorded against the booking

  • Items: The units (Price Types) contained in the booking

Using Credit Card Online
To enter a booking and process credit card paying using our 'Credit Card Online' facility, select Payment Method 'Credit Card Online' at the bottom of the booking form (Screenshot I) and click 'Submit'.

IMPORTANT: On the next screen, you must click PAY (Screenshot J) in order to open a DPS window and enter the client's credit card number. If you click 'Confirm Booking', this will confirm the booking with a full outstanding balance.


Please Note: The Mobile CRS does not offer an 'edit booking' function, so if you make this mistake, you will need to switch to the desktop site, locate the booking, select 'edit' and then click 'Credit Card Online' in order to enter the credit card transaction.

Enter the client's credit card information, and click 'Pay $x.xx' to process payment (Screenshot K).
If successful, the credit card payment will be indicated with a green tick next to the transaction line (Screenshot L) and show a $0.00 Balance Outstanding. Click 'Confirm Booking'.

To transfer from the Mobile CRS to the full site in order to access additional functionality, press the menu button followed by Open Desktop Version as shown above.
This will send you directly through to your Manage Bookings page on the desktop Central Reservation System.
