Super Shuttle Live Bookings
RTBS has a live integration with Super Shuttle's reservation system which gives RTBS booking agents access to up-to-the-minute availability and enables them to make immediate, live bookings without a phone call. The interface also allows agents to find fares for any number of possibly journeys around New Zealand for their guests.
Using the Super Shuttle Interface
The booking process works as follows. For more information on any of the steps, please see detailed information below.
- Select Super Shuttle in the Operator drop list and click 'Go'.
- Select your required Pickup Address and Drop Off Address by typing the first few characters into the field and selecting from the options provided.
- For Airport Transfers, fill in your guest's flight details and the Pickup Date & Time will be calculated automatically. For other transfers, simply enter the required Pickup Date and Time.
- Select the Number of Passengers and any Extra Bags. Choose Fare Type - either a standard 'Shared' service or 'Exclusive' for a private vehicle charter.
- Click Find Fare.... If all fields have been filled correctly, the fare will be calculated.
- Click Continue to proceed to make a live booking.
- Fill in the booking form. Once you click 'Book Now', the booking will automatically be saved in the Super Shuttle reservation system.
Booking Process in Detail
STEP 2: Select your required Pickup Address and Drop Off Address.
Start typing in the field to search for a location. The result should appear after the first few characters have been entered.
For accommodation properties search by name:
For residential addresses start with the street number:
Important: You must select from the options provided or the system will not be able to find a fare for the journey.
Airports are listed multiple times to make them easier to find. For example, for Queenstown Airport you can select any of the following:
- Airport - Queenstown Domestic
- Airport - Queenstown International
- Queenstown - Domestic Airport
- Queenstown - International Airport
- Queenstown Airport - Domestic
- Queenstown Airport - International
You must ensure you select the correct terminal (Domestic/International) for your guest as this is used to determine the pickup time to meet the flight.
STEP 3 (AIRPORT TRANSFERS): Fill in your guest's Flight Details.
This information will be used to automatically calculate the Pickup Time for your guest from either accommodation or from the airport.
Super Shuttle require the flight number to help them keep track of any delays or cancellations.
Click the Calendar icon to select the Flight Departure Date, and the Clock icon to enter the Flight Departure Time. Alternatively, both these fields can be typed in, and a variety of date/time formats are accepted.
Once the flight details have been entered, the Pickup fields will update automatically to reflect the recommended Pickup Time (and Date).
For transfers to the Airport, you can make the Pickup Time earlier if desired, but no later as this may lead to the flight being missed.
STEP 3 (NON-AIRPORT TRANSFERS): Enter the required Pickup Date and Time for the transfer.
STEP 4: Enter Passenger and Extra Item Numbers, and select Fare Type.
- Passengers - Enter the number of people travelling, which must include any children or infants.
- Extra Items - The shuttle fare includes two standard suitcases per person. Any additional bags, along with other items such as bikes, kayaks, golf clubs, skis or snowboards, can be added to the booking as 'Extra Items'.
- Fare Types - Choose either the standard 'Shared' service (the guest should expect the shuttle to stop 2-3 times each journey either to pick up or drop off other passengers) or the 'Exclusive' transfer option, which means the guest books out the whole (11-seater) vehicle.
STEP 5: Click Find Fare...
RTBS will send the information provided to the Super Shuttle system and display a response. If the information provided is all valid and Super Shuttle have availability, a fare will be returned. The fare displayed is the total for the whole booking (not per person).
STEP 6: Click Continue.
Once you have found a valid fare, click 'Continue' to proceed to the booking form.
STEP 7: Fill in the booking form.
Several fields will have been automatically populated with the information provided so far. If you need to change anything, click 'back' in your web browser to return to the previous page.
The Reference field will be used to store the confirmation number from Super Shuttle.
Payments
The last section of the booking form is for recording payment. Super Shuttle bookings must be either Fully Paid ("On Account") or Unpaid ("Cash to driver"), in accordance with your agency's agreement with Super Shuttle. Account options are as follows:
- On Account - The customer pays in full to the booking agent, who is then invoiced by Super Shuttle. Full payment is recorded in RTBS.
- Cash - The booking agent makes a referral booking without taking any payment from the guest. The guest then pays the driver in cash or by credit card (please note; not all shuttles offer credit card facilities). The booking is recorded as unpaid in RTBS.

Editing & Cancellations
Only minor edits (such as changes to the customer's name, email address or phone number) can be done via the 'Edit Booking' function in RTBS. If other details such as the time, date, or number of passengers need to be amended, this will require cancelling the existing booking and making a new one.
If the value of the booking is unaffected, the agent may instead prefer to just call Super Shuttle to amend the booking over the phone, but please be aware such changes will not be reflected in RTBS.
Error Messages
A booking attempt may be rejected if the information provided is incomplete, invalid, or it is too close to the departure time of the service being booked. When this occurs, an error message will show and you will need to take corrective action in order to proceed with the booking. Any of the following errors may display:
- Pickup Date/Time is required
- Pickup Date/Time is in the past
- Pickup/Drop Off Address is required
- Fare Type is Required (Please click "Find Fare" to identify a valid fare and proceed with the booking)
- Unable to find Pickup/Drop Off Address (Please search again - addresses must be selected from the options given and not just typed in)
- Multiple matches found, a more specific Pickup/Drop Off Address is required (Please ensure you select one option from those offered)
- Fare Not Found, try changing the Pickup or Drop Off Address (Super Shuttle do not currently offer a set fare between the two locations selected. You may be able to find a valid fare by changing either Pickup or Drop Off to a prominent nearby location such as a hotel or bus station).
- Booking cannot be made. The selected Pickup Time is too close for booking this transfer online. You may be able to book the service by calling Super Shuttle and filling in a Manual Voucher (All live bookings require some notice time, which is determined by the Pickup Location and Time of Day. If you see this message, please call Super Shuttle and they may be still be able to take your booking by phone, which can then be recorded in a Manual Voucher in RTBS).
- SuperService could not verify your account details (Please contact RTBS Support on help@whytewaters.com and we'll look into this issue with Super Shuttle.)
