Making a Booking

This guide takes you through the basic steps in making a booking and creating a ticket for a client through RTBS.



Step 1: Select the Operator

In the Activity Search box, set the Country and Region, and the date that the client wishes to do the activity.

Select the operator from the drop-down list and click ‘Go’.

Step 2: Select the Activity


On the Availability screen, scroll down to the requested activity and select the client’s preferred departure time. ‘On demand’ activities are those without a set schedule; when booking these products you will have to manually enter a scheduled time on the next screen.

 All activities will either have ‘Call to check availability’ or ‘Book Now’ next to their departure time.

Book Now’ activities are those which are live on RTBS and therefore require no phone call - they are confirmed automatically when you save the booking.

Call to check availability’ activities are those for which the booking must be made over the phone between the agent and the operator.

Step 3: Fill in the Client’s Information 

 

You won’t necessarily fill in every field for every ticket; and some will only get completed once you have spoken to the operator (for ‘On Call’ bookings).

The ‘Pickup Location’ field may be a freetype box, or it may give a list of pick ups to choose from.  


Step 4: Enter the Units

Use the ‘Select Booking Numbers’ section to enter the number of each unit type required for the booking.

Step 5: Call the Operator (if required)


‘On Call’ activities only: Call the operator to make the booking - give them the client’s details and your Booking ID, enter their booking number into the reference field, and confirm pickup time and location.


Step 6: Process and Record Payment


Use the bottom section of the ticket screen to record payments made.


Step 7: Save the Booking


 Once payment has been completed, click the 'Book Now' button to complete the booking.  

This saves the booking in your system, and for ‘live’ operators, will also save the booking automatically into the booking system of the operator.

  

 


Step 8: Print the ticket

 

Once printed, it’s always a good idea to discuss the Terms & Conditions of the booking with the client. You also have the option of asking them to sign the bottom of the ticket to confirm that they accept the Terms & Conditions.
